We are seeking an experienced and competent administrator who will report to the Executive Assistant to the Fitch Ratings President and the Executive Assistant to the Fitch Ratings Chief Operating Officer. This role requires an understanding of company policies, procedures, and the importance of trust, confidentiality, and accuracy.

 

The Executive Administrative Office provides a seamless and professional senior executive-level service to the Fitch Ratings President the Fitch Ratings Chief Operating Officer (‘COO’) and other members of the Fitch Ratings Executive Committee, consistently upholding the highest standards, ensuring efficiency and effectiveness, and enhancing organisational performance.

 

We’ll Count on You To:
 

  • Provide administrative support to the Executive Assistant to the President and the Executive Assistant to the COO.
  • Coordinate end-to-end domestic and international travel arrangements, including visas (if required) and prepare complete travel itineraries complete with ground transport, accommodation and meeting schedules. 
  • Prepare expense reports accurately and promptly.
  • Act as the point of contact for administrative tasks and queries for the Operations team.
  • Organize meetings and video conferences, including room reservations, meeting set up, booking refreshments, and managing documents and dial-in details.
  • Provide customer service by greeting clients and visitors, responding to requests for materials, and supplying information within the scope of knowledge.
  • Handle office administrative duties such as photocopying, scanning, filing (physical and digital), and ordering stationery.
  • Liaise with IT, Mailroom, Facilities, and Caterers.
  • Review and distribute incoming mail and couriers and prepare outgoing correspondence.
  • Maintain organizational charts and floor plans and updating Outlook mailing lists.
  • Coordinate new employee orientation and setup in partnership with the hiring manager.
  • Assist and organize desk and office bookings for international visitors to Fitch offices globally.
  • Manage electronic and hard copy file maintenance in compliance with departmental, regulatory, and compliance directives.
  • Coordinate planning sessions, team-building events, and group activities.
  • Process finance-related items through the Accounting Department, including invoices and membership renewals.
  • Process subscription requests and renewals.

 

What You Need to Have:

  • Possess common sense, demonstrating diplomacy, discretion, and integrity.
  • Work comfortably in a fast-paced environment and grasp key concepts quickly.
  • Be reliable, willing to contribute actively, and work calmly and collaboratively with a mature and positive outlook.
  • Have a proactive attitude and excel in problem-solving.
  • Strong interpersonal and communication skills, with excellent grammar, spelling, and fluency in English.
  • Strong proofreading capability, attention to detail, and accuracy.
  • Competency in Microsoft suite of applications; PowerPoint, Word, Excel, and Outlook.
  • Minimum GCSE level education.
